How to Use AUDIX:
Your Campus Voice Mail System

To reach your AUDIX dial: 4-4444

For a new mailbox you will be prompted to:

  • Enter your 5-digit extension followed by a # sign.
  • Enter a # sign as your password.
  • Press 1, speak your name, press 1 again
    (callers will hear this when they reach your AUDIX mailbox,
    unless you record a personal greeting).
  • Enter a unique 6-digit password to allow access to your AUDIX mailbox.

For an existing mailbox you will be prompted to:

  • Enter your 5-digit extension followed by a # sign.
  • Enter your password followed by a # sign.

RECORD MESSAGES

  1. Record message to send to another AUDIX user.
    • Press 1 - Stop/Pause
    • Press 1 - Continue
    • Press 2, 3 - Play Back
    • Press *D - Delete and Re-record
  2. When finished - Press # to approve.

ADDRESS/SEND MESSAGE

  1. To address messages, use as necessary:
    • Enter the person's 5-digit extension.
    • Press # (Repeat for each extension)
    • Press # - Approve
    • Press 0 - Send with options
  2. Press # - Send now

    Delivery/Schedule/File Options
    • Press 0 - Listen to delivery options
    • Press 3 - Schedule future delivery:
      • Enter delivery time (i.e. 100 for 1:00)
      • Enter A (AM) or P (PM) - Press #
    • File a copy - Press Y or N

    To access a created mailing list:
    • Press *L
    • Press # (if you are a List owner)
      • Enter list owner's extension - Press #
    • Enter list ID - Press #

(Listen - Replay/Forward - Save/Delete)

GET MESSAGES

  1. Press 3 - To listen to a message header.
  2. Press 0 - To listen to a message.
    Options:
    • Press 1 - Respond/Forward
    • Press 2 - Step Back
    • Press 3 - Listen to header
    • Press *D - Delete
    • Press # - Save and go to next message
    • Press # - Skip to next category
    • Press **H - Hold message, go to next header
    • Press **U - Undelete message (only if you have not hung up)

RESPOND TO MESSAGE

3. Options:

  • Press 1 - Respond/Forward
  • Press 4 - Record new message
  • Press 1, 2 - Forward with a comment
  • Reply to sender:
    • Press 1, 7 - Send reply only
    • Press 1, 1, 9 - Send reply/attach original
    • Press # - Approve
    • Press 0 - Send with options
    • Press # - Send now

MESSAGE STORAGE TIME

Audix deletes messages after 10 days.

If a longer storage time is required contact NCS Operations Support for assistance.

BROADCAST MESSAGES

Occasionally campus-wide notifications are sent by a Network Resources System Administrator to inform AUDIX users of system maintenance, upgrades and outages.

Note: When these messages are sent you will not receive a message waiting light or stutter dial tone.

ADMINISTER PERSONAL GREETINGS

  1. Press 0 - Listen to a greeting
  2. Press 1 - Create, change or delete a greeting
  3. Choose greeting number to record (1-9)
    Press 1 - To record a new greeting after the tone. Options:
    • Press 1 - Stop/Edit
    • Press 2, 3 - Playback
    • Press *D - Delete and re-record message
    Press # - Approve
  4. Press 2 - Scan all greetings
  5. Press 3 - Activate an existing greeting
  6. Press 4 - Administer call types
    Choices:
    • Press 1 - Distinguish between internal and external calls
    • Press 2 - Distinguish between busy and no answer calls
    • Press 3 - Distinguish between work-time and out-of hours calls
    • Press 4 - Remove distinction between work-time and out-of hour calls
    • Press 5 - Use same greeting for all calls
    When finished, Press #

REVIEW OUTGOING MESSAGES/HEADERS

  1. Press 0 - Listen to message or header only
    Options:
    • Press # - Skip to next header
    • Press 2, 3 - Play back header
    • Press *D - Delete header and any attached message
    • Press # - Skip to next mail category

  2. MODIFY/RESEND OUTGOING MESSAGE

  3. For Undelivered, Nondeliverable or Filed Messages:
    • Repeat Steps 1 and 2
    • Press 1 - Modify or resend message
  4. Message Options:
    • Press 1 - Modify or resend message
    • Press # - Send message as is, go to step 4
    • Press 1 - Re-record
      • - Press 1 - Stop
      • - Press # - Approve, go to step 4
  5. Address Options:
    Files and Nondeliverable Messages
    • Send to new recipient
      • Enter address
      • Press #
    • Press # - Approve
    • Press 0 - Send with options
    • Press # - Send now
  6. Undeliverable Messages
    • Press # - Send original recipient only
    • Enter address
      • Press # - Approve
      • Press 0 - Send with options
      • Press # - Send now

(Administer Mailing List - Administer Personal Directory - Change Password - Record Your Name)

ADMINISTER MAILING LIST (up to 250 members)

  1. Press 1 - Enter List ID (6 letters or digits) - Press *
  2. Press 1 - For private list
    Press 2 - For public list
  3. Enter recipient's 5-digit extension - Press #
  4. Repeat step 3 until list is finished
  5. Press # - Approve

ADMINISTER PERSONAL DIRECTORY

  1. Press 2 - Administer Personal Directory
  2. Listen to list summary
    Review and Modify Option:
    • Press 3 - Review and Modify specific entry
    • Enter list owner's 5-digit extension - Press #
    • Enter List ID - Press #
    Additional Options:
    • Press # - Skip to next name
    • Press *D - Delete header
    • Press 2 - Return to previous name

CHANGE PASSWORD

  1. Press 4
  2. Enter new password (at least 6 digits)
  3. Re-enter new password - Press #

RECORD YOUR NAME

  1. Press 5
  2. Say your name after the tone
  3. Press 1 - After saying your name
  4. Press # - Approve

(Scan Headers - Scan Messages - Guest Password)

TO SCAN HEADERS/MESSAGES

  1. Choices:
    • Press 1 - Scan headers and messages
    • Press 2 - Scan headers only
    • Press 3 - Scan messages only
  2. Options:
    • Press *D - Delete
    • Press 2, 3 - Play back header
    • Press # - Skip to next message
    • Press * # - Skip to next category
    • Press **H - Hold in category

GUEST PASSWORD

Allows any caller to bypass a receptionist and leave voice mail.

  1. Dial 4-4444
  2. Enter recipient's extension - Press #
  3. Enter guest password - CUGUEST (284-8378) - Press #
  4. Leave message - Hang up

Note: When an AUDIX user's telephone is answered by a call coverage pattern (e.g. Call forwarding, Call pick-up, Call coverage path or a covering extension) to a central answering point, the caller can be quickly transferred back to the user's individual mailbox:

  • Press - Transfer
  • Press - 161
  • Press - Transfer

(Analog phones - Transfer by depressing the Switchhook)
