Special Mailboxes

Configuring: Options C & D
Setting Up an Independent Mailbox


If you want to process the special mailbox mail separately from your personal mail account on one computer (this is especially useful if more than one person needs to check and send special mail from the same computer), you should set up an independent mailbox on your computer (or computers).

 

The specific steps outlined in these pages assume you are using Eudora 6.x, the e-mail client distributed with Bear Access and supported by Cornell Information Technologies.

 

On a Windows computer:

This example sets up a Eudora folder (on a computer that already has Eudora installed) for the special mailbox. The following instructions use "brrc." You should substitute your special mailbox name where "brrc" appears.

  1. Make sure Eudora is installed by starting Bear Access and clicking the Eudora Mail button. Let the update service deliver any files it thinks you need. After Eudora starts, exit it.
  2. Open the Eudora folder, which is most likely to be in the C:\Program Files\Bear Access\winba\ folder.

    red bullet Hint: If you have difficulty finding the Eudora folder, use the Find command on the Start menu.

  3. Go to the File menu, choose New, then choose Folder. Rename the folder brrcMail. It should be inside the Eudora folder.
  4. Go back to the Eudora folder. Choose the Detail view. Select the Eudora configuration settings (ini) file. Hold down the Ctrl key, and drag the file to the brrcMail folder. (Holding the Ctrl key creates a copy of the file.)
  5. Go back to the Eudora folder, select the Eudora application (exe) file, and right-click. From the dropdown menu, choose Create Shortcut.
  6. Select the shortcut and drag it to the desktop.
  7. Right-click on the shortcut icon and choose Rename. Type a meaningful name (for example, brrc Eudora).
  8. (Note: This step is particularly complex; please read it carefully to avoid mistakes.)
    A. Right-click on the shortcut icon and choose Properties.
    B. Select the Shortcut tab.
    C. In Target, add the complete path to the brrcMail folder after the entry that already appears. If you have followed the example here, the full Target listing will be (including two sets of quotation marks but all on one line):

    "C:\Program Files\Bear Access\winba\eudora\eudora.exe" "C:\Program Files\Bear Access\winba\eudora\brrcMail"

    D. Then add the folder name to the end of the entry that appears in the Start In listing. If you followed the example here, the full Start In listing will be (including the set of quotation marks):

    "C:\Program Files\Bear Access\winba\eudora\brrcMail"

    E. Click OK.

    NOTE: If your Eudora folder was NOT in the path named in step 2 above, you will have to change the paths listed in these two entries on the Shortcut tab.

  9. Double-click on the brrc Eudora shortcut.
  10. Go to Eudora's Tools menu and choose Options.
  11. Click the Getting Started icon in the scroll box on the left.
  12. Fill in the Eudora configuration settings for the special mailbox:
  13. Real Name full name to appear on outgoing messages (example: Big Red Research Center)
    Return Address example: brrc@cornell.edu
    Mail Server (Incoming) example: postoffice9.mail.cornell.edu
    Login Name example: brrc-mailbox
    Note: you MUST include the "-mailbox" as part of the login name.
    SMTP Server (Outgoing) same as Mail Server
  14. If you chose Option C, in the scroll area at the left of the Options window, click on Checking Mail. Under Secure Sockets when Receiving, choose Required, Alternate Port from the dropdown list.
  15. If you chose Option C, in the scroll area at the left of the Options window, click on Incoming Mail. Under Authentication Style, choose the Passwords radio button.
  16. Click OK.

 

On a Macintosh computer:

Follow these steps to create an e-mail shortcut for the special mailbox (the following instructions use "brrc." You should substitute your special mailbox name where "brrc" appears):

  1. Make sure Eudora is installed by starting Bear Access and clicking the Eudora Mail button. Let the update service deliver any files it thinks you need. After Eudora starts, quit it.
  2. Create a new folder and label it brrc Mail.
  3. Go to the System Folder and open the Eudora Folder. Select the Eudora Settings file, then go to the File menu and choose Duplicate. Put the copy in the brrc Mail folder. (Depending on how Eudora was installed on your computer, you may find the Eudora folder in the Documents folder.)
  4. Open the brrc Mail folder, and rename the Eudora Settings file with a meaningful name (for example, brrc Eudora).
  5. Make an alias of brrc Eudora and put it in the Apple Menu Items folder or another convenient location, such as the Desktop. Or, open the Launcher control panel, and drag brrc Eudora onto it.
  6. Double-click on the brrc Eudora alias (if it's in the Launcher, single-click; if in the Apple Menu, select it). If you get an error message the first time ("Are you sure that's an Eudora Folder?"), click Convert.
  7. Go to Eudora's Special menu and choose Settings.
  8. Click the Getting Started icon in the scroll box on the left
  9. Fill in the Eudora configuration settings for the Special Mailbox:
    Real Name full name to appear on outgoing messages (example: Big Red Research Center)
    Username example: brrc-mailbox
    Note: you MUST include the "-mailbox" as part of the Username.
    Mail Host example: postoffice9.mail.cornell.edu
    Return address example: brrc@cornell.edu
  10. If you chose Option C:
    1. In the scroll area at the left of the Settings window, select SSL.
    2. Leave the Personality dropdown set to <<Dominant>>
    3. Change the next three dropdown lists all to Required (Alternate Port).
    4. If the scroll area at the left of the Settings window, select Kerberos.
    5. Remove the checkmarks next to the two boxes that mention Kerberos.
  11. Click OK.

In order for TLS to work on a Macintosh, you must have an active Keychain.
If you chose Option C, you are using TLS (also known as SSL).

Tips for using Eudora with both a special mailbox and a personal mailbox
(either Windows or Macintosh)

  • When checking for special mailbox messages, always open Eudora by using the shortcut for the special mailbox to avoid viewing e-mail messages in the personal e-mail mailbox.
  • Since you have set up Eudora to handle the special mailbox mail separately from the personal e-mail mailbox, you must open, use, and quit from the special mailbox independently of using the personal e-mail account.
  • If you have NOT set your special mailbox to use TLS for security, you will have to cancel out of your personal Kerberos ticket before you can log on using the special mailbox Network ID.
