Special Mailboxes

Publicize Your Special Mailbox Address


When you get a special mailbox, you want people to know what the address is so that you can start receiving business mail there.
  • People can send e-mail to your special mailbox in two different ways.
  • By sending mail to the special mailbox Network ID without the "-mailbox" suffix. For example, brrc@cornell.edu. This has the benefit of being simpler.
  • By sending mail to the special mailbox Network ID with the "-mailbox" suffix. For example, brrc-mailbox@cornell.edu. This has the benefit of being clear that the address is a special mailbox, not an individual.
  • You can publish the address anywhere you know your constituency will see it. For example, you can announce the address to groups of people you know would be interested, through e-mail, professional journals, and the like.
  • You will also want to keep your special mailbox directory listing up-to-date so that people can locate the address of the mailbox through Directory Services in Eudora or Bear Access.

Information about your special mailbox is automatically entered into Cornell's Electronic Directory when you apply for and receive a special mailbox. You can add to or update this information using Who I Am.

 

Update Information in Cornell's Electronic Directory

  1. Clear your personal Kerberos ticket if it is active.
  2. In Bear Access, click on the Directory Services folder, then on Who I Am. (Or use any browser to go to whoiam.cornell.edu)
  3. In Who I Am click on the link for Special Mailboxes.
  4. Where it asks for a NetID, enter the special mailbox Network ID.
    Be sure to include the '-mailbox' suffix (example: brrc-mailbox).
  5. Where it asks for a Password, enter the password associated with the special mailbox Network ID (not your personal password).
  6. You'll see the special mailbox welcome page in Who I Am. Click on the link for Electronic Directory. (You may need to sign in using the special mailbox's NetID and password again.)
  7. In this online form, you can add or update various information about your organization including your campus address and phone number, department and title, search nickname, and web page URL if you have one.
  8. Click on Update Listing when you have finished updating or adding information to the form.

Here are a couple of things to keep in mind about your listing:

  • If people know your organization by a nickname or acronym, you may want to enter that in the Nickname field in Who I Am. For example, if your organization, the Big Red Research Center, is known by most participants as BRRC, put BRRC in the Nickname field. Then if people search on BRRC when using Directory Services in Bear Access, CUinfo, or Eudora, they will find your listing.

  • As described in the application form, the Network ID you choose for your mailbox should be meaningful and indicative of the mailbox's function or purpose. The full or descriptive name is also important. This is what goes in the name field in your directory listing and is one of the fields, along with the nickname, on which people search to find your special mailbox address. In our example, the Big Red Research Center chose this complete version of its name to make searching for the listing as easy as possible for correspondents.
