Special Mailboxes

Configuring: Option B


If you (this can be one person or many people) want to check for both personal messages and special mailbox messages regularly from one or more computers (for example, every hour while at work) but do not want to download special mailbox messages while at home, traveling, or in other special circumstances, you should:

 

The specific steps outlined in these pages assume you are using Eudora 6.x, the e-mail client distributed with Bear Access and supported by Cornell Information Technologies.

 

Set up a Eudora Personality to receive special mailbox messages using TLS

The Personality feature in Eudora lets you receive special mailbox messages with your personal messages, and send e-mail that will show your special mailbox's information in the "From" and "Reply-To" fields, rather than your own. These instructions explain how to set up a personality for a Cornell e-mail account using Eudora. Non-Cornell accounts (or those using other e-mail software) will require different settings.

On a Windows computer:

    1. Go to the Tools menu and choose Personalities. Right-click on the Personalities window (on the left) and choose New from the menu that pops up. A Wizard window will appear.
    2. Select "Create a brand new e-mail account" then click Next. Fill in the boxes as follows:   
      Personality Name: short name for the special mailbox (example: BRRC)   
      Your Name: name that will appear in the "From:" field when mail is sent (example: Big Red Research Center)
      E-Mail Address: the special mailbox's return address (example: brrc@cornell.edu)
      Login Name: special mailbox's ID including "-mailbox" (example: brrc-mailbox)   
      Incoming Server: mail server used by the special mailbox (example: postoffice9.mail.cornell.edu)
      POP or IMAP radio buttons: choose how you want your mail handled. If you don't know, choose POP for now, then see our POP/IMAP comparison pages for more information. If you choose IMAP, enter user for IMAP Location Prefix. (If you choose POP, you won't be asked for this.)
      Outgoing Server: will default to be the same as the incoming server
    3. Click Finish to close the Wizard window.
    4. Click on the personality name in the Personalities window (on the left), then right-click it. Choose Properties from the menu that pops up.
    5. You can check for special mail whenever you check for personal mail, or check for special mail separately:
      A. To check for special mail whenever you check for personal mail, make sure there is a check mark in the box next to "Check Mail."
      B. To check for special mail separately, uncheck the box next to "Check Mail." When you want to check for special mail, go to the Tools menu and choose Personalities. Right-click on the personality name in the Personalities window (on the left) and choose Check Mail from the menu that pops up.
    6. Still in the Account Settings window, click on the Incoming Mail tab. At the bottom, click on the radio button next to Passwords. In the dropdown list under Secure Sockets when Receiving, select Required, Alternate Port. (See the Special Mailbox security page for a discussion of the security implications.)
    7. If you are using POP and more than one person wants to see all special messages (one more than one computer), click to put a check in the box next to "Leave mail on server."
    8. Click OK.

 

On a Macintosh computer:

    1. Go to the Special menu and choose Settings. In the scroll box on the left, click the Personalities icon.
    2. Click the New button. Fill in the boxes as follows:
      Personality Name: short name for special mailbox (example: BRRC)   
      Username: the special mailbox's ID plus "-mailbox" (example: brrc-mailbox)   
      Mail Server: special mailbox's postoffice account (example: postoffice9.mail.cornell.edu)
      Real name: name used to write and reply (example: Big Red Research Center)
      SMTP Server: same as the Mail Server  
      Return address: special mailbox's ID plus "@cornell.edu" (example: brrc@cornell.edu)
    3. There are several ways you can check for special mail:
      A. To check for special mail automatically at regular intervals, click to put a check mark in the box next to "Check for mail every ___ minutes." and enter a number (30 or larger) in the space.
      B. To have Eudora check for special mail whenever you manually check for personal mail, click to put a check in the box next to "Check mail on manual checks."
      C. Follow both steps A and B to have Eudora check for special mail automatically and manually.
      D. If you leave both check boxes unchecked, the only way to check for special mail will be to go to the Window menu and choose Personalities. Click on the special mailbox personality, then click on the small Check Mail icon at the bottom of the window.
    4. In the scroll area at the left, select SSL (you may have to scroll down to see it).
    5. From the dropdown list next to Personality choose the personality name you just set up.
    6. Change the next three dropdown lists all to Required (Alternate Port).
    7. In the scroll area at the left, select Kerberos.
    8. From the dropdown list next to Personality chose the personality name you just set up.
    9. Remove the checkmarks next to the two boxes that mention Kerberos.
    10. Click OK.

In order for TLS to work on a Macintosh, you must have an active Keychain.

Filter Incoming Messages

It will be much easier to organize and manage your messages if you let Eudora's filters separate the different kinds of messages into various mailboxes. This is documented on the Organizing page of the How to Use Eudora web site.

 

Using the Personality to Send Messages

When composing a message to send (or when replying to a message), go to the From: line's drop-down menu and select the special mailbox's Personality. The recipients of those messages will then see the special mailbox address instead of your personal e-mail address.
