Special Mailboxes

Configuring: Option A


If you (this can be one person or many people) want to check for both personal messages and special mailbox messages no matter where you check (work, home, traveling, labs, etc.), you should:

 

The specific steps outlined in these pages assume you are using Eudora 6.x, the e-mail client distributed with Bear Access and supported by Cornell Information Technologies.

 

Forward Incoming Mail to your Personal E-mail

    1. Clear your personal Kerberos ticket if it is active.
    2. In Bear Access, click on the Directory Services folder, then on Who I Am.
    3. In Who I Am click on the link for Special Mailboxes.
    4. Where it asks for a NetID, enter the special mailbox Network ID.
      Be sure to include the '-mailbox' suffix (example: brrc-mailbox).
    5. Where it asks for a Password, enter the password associated with the special mailbox Network ID (not your personal password).
    6. You'll see the special mailbox welcome page in Who I Am. Click on the link for Electronic Mail. (You may need to sign in using the special mailbox's NetID and password again.)
    7. In the third paragraph you'll see the postoffice account assigned to your mailbox. Copy this information down; you'll need it in Eudora.
      (example: brrc-mailbox@postoffice9.mail.cornell.edu)
    8. Under postoffice account, select the third radio button. Then set the preferred e-mail address to the address(es) where you want to receive the mail.
      TIP: You can also leave the special mailbox's Cornell postoffice account here if you want the special mail sent both to a personal address AND to its own independent address. Put each address on a separate line.
    9. Click the Set it! button at the bottom of the page to save your settings.

 

Filter Incoming Messages

It will be much easier to organize and manage your messages if you let Eudora's filters separate the different kinds of messages into various mailboxes. This is documented on the Organizing page of the How to Use Eudora web site.

 

Using Personalities to Send Messages

The Personality feature in Eudora lets you send e-mail that will show your special mailbox's information in the "From" and "Reply-To" fields, rather than your own. These instructions explain how to set up a personality for a Cornell e-mail account using Eudora. Non-Cornell accounts (or those using other e-mail software) will require different settings.

On a Windows computer:

    1. Go to the Tools menu and choose Personalities. Right-click on the Personalities window (on the left) and choose New from the menu that pops up. A Wizard window will appear.
    2. Select "Create a brand new e-mail account" then click Next. Fill in the boxes as follows:
      Personality Name: short name for the special mailbox (example: BRRC)   
      Your Name: name that will appear in the "From:" field when mail is sent (example: Big Red Research Center)
      E-Mail Address: the special mailbox's return address (example: brrc@cornell.edu)
      Login Name: special mailbox's ID including "-mailbox" (ex: brrc-mailbox)   
      Incoming Server: mail server used by the special mailbox (example: postoffice9.mail.cornell.edu)
      POP or IMAP radio buttons: choose how you want your mail handled. If you don't know, choose POP for now, then see our POP/IMAP comparison pages for more information. If you choose IMAP, enter user for IMAP Location Prefix. (If you choose POP, you won't be asked for this.)
      Outgoing Server: will default to be the same as the incoming server
    3. Click Finish to close the Wizard window.
    4. Click on the personality name in the Personalities window (on the left), then right-click it. Choose Properties from the menu that pops up.
    5. Click in the box next to "Check Mail" to remove the check mark.
    6. Still in the Account Settings window, click on the Incoming Mail tab. At the bottom, click on the radio button next to "Passwords." (See the Special Mailbox security page for a discussion of the security implications.)
    7. If you are using POP and more than one person wants to see all special messages (one more than one computer), click to put a check in the box next to "Leave mail on server."
    8. Click OK.

Using personalities when writing or replying to messages: Go to the From: line's drop-down menu and select the special mailbox's Personality. The recipients of those messages will then see the special mailbox address instead of your personal e-mail address.

 

On a Macintosh computer:

    1. Go to the Special menu and choose Settings. In the scroll box on the left, click the Personalities icon.
    2. Click the New button. Fill in the boxes as follows:
      Personality Name: short name for special mailbox (example: BRRC)   
      Username: the special mailbox's ID plus "-mailbox" (example: brrc-mailbox)   
      Mail Server: special mailbox's postoffice account (example: postoffice9.mail.cornell.edu)
      Real name: name used to write and reply (example: Big Red Research Center)
      SMTP Server: same as the Mail Server  
      Return address: special mailbox's ID plus "@cornell.edu" (example: brrc@cornell.edu)
    3. Make sure both "Check mail" boxes are NOT checked.
    4. Click OK.
