Special Mailboxes

Applying for a Special Mailbox

Programs, projects, and departments are likely candidates for special mailboxes. Cornell Information Technologies (CIT) provides special mailboxes so that Cornell affiliated groups, departments, officially recognized organizations, instructional programs, etc. can send and receive electronic mail related to their missions. Special mailboxes may be used only for that purpose; they may not be used for personal communications. Each special mailbox must have a single designated owner.

Who Can Be a Special Mailbox Owner

Every special mailbox must have one person designated as the owner. This person must be an active member of the Cornell community. An owner may be:

  • a registered student who is acting on behalf of a "Registered Student Organization." See the Student Activities Office page for more information.

  • a currently-employed staff, faculty, or affiliate member

  • a Cornell retiree who is collecting retirement benefits

Any requests to make changes to a special mailbox must come from the designated owner.

Who Cannot Be a Special Mailbox Owner

Special mailboxes may not be owned by:

  • an individual who has a sponsored NetID

  • an alumnus who is a subscriber to the CU-On-the-Net service

  • a non-registered student

  • a former Cornell staff or faculty member

  • a NetID that does not belong to an individual

  • a mailing list

  • another special mailbox

Filling Out the Request Form

To apply for a special mailbox, complete the online Form to Request a Special Mailbox. You must read the Policies and Rules associated with special mailboxes before sending in the form.

  • Do not publish your requested e-mail address until you have received final confirmation of its creation from CIT. It is possible that the exact address of the special mailbox will not be precisely what you requested.

Get Confirmation from CIT

CIT will respond to your request via e-mail as soon as possible. The message will confirm your special mailbox's full name, NetID, and postoffice account.
  • Note that the name and NetID may not be exactly what you requested. CIT may need to change these to avoid confusion and duplication.

  • Save the message your receive! You'll need this information to set up e-mail for processing your special mailbox mail.
